Privacy Policy — CivicOS

Plain language summary: We collect only what's needed to run your community app. We do not sell your data. Your information stays within your society's deployment and is not shared with third parties for marketing.

1. Who We Are

CivicOS is a product of RP Brands Solutions, a company registered in India. We build community management software for Resident Welfare Associations (RWAs) and housing societies. Our registered contact is hello@mycivicos.com.

2. What Information We Collect

Information you provide directly

Registration details: Your name, mobile number, email address, block/flat number, and resident type (owner/tenant).
Complaint submissions: Category, block, description, urgency level, and any photo you choose to attach.
School Connect submissions: Student name, class, roll number, school name, and the message or notice you send.
Demo/onboarding requests: Your name, WhatsApp number, society name, and number of units.

Information collected automatically

Basic browser/device type (for technical compatibility)
Pages visited within the app (for improving the product)
Errors and crash logs (for debugging)

We do not collect: precise GPS location, financial information, government IDs, or biometric data.

3. How We Use Your Information

To send your complaint to the correct civic authority (PVVNL, Jal Board, Noida Authority, etc.)
To give the RWA admin visibility into community issues
To send School Connect notifications to the relevant school
To log complaints and registrations in the society's Google Sheet (accessible only to the RWA admin)
To respond to your demo or onboarding requests via WhatsApp
To improve the product and fix technical issues

4. How We Share Your Information

We share your data only in the following circumstances:

Civic authorities: Your complaint details (name, contact, description) are emailed to the relevant authority to facilitate resolution.
Your RWA admin: Registration details and complaint records are accessible to the designated community admin.
Schools: When you use School Connect, your message and student details are sent to the school contact you selected.
Google Workspace: Data is logged to Google Sheets and sent via Gmail as part of normal product operation. Google's privacy policy applies to data processed by their services.

We do not sell, rent, or share your data with advertisers or unrelated third parties.

5. Data Storage and Security

Complaint and registration data is stored in Google Sheets controlled by the RWA admin. Demo inquiry data is received via WhatsApp (governed by Meta's privacy policy) and stored securely by RP Brands Solutions for the purpose of onboarding.

We use HTTPS encryption for all data in transit. We follow industry-standard practices to protect data from unauthorised access.

6. Data Retention

Complaint and registration records are retained as long as the society's subscription is active. Upon termination, we can provide a data export and delete records upon written request. Demo inquiry data is retained for up to 12 months.

7. Your Rights

As a user, you have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data (subject to legal obligations)
Withdraw consent for optional data uses

8. Children's Privacy

CivicOS is intended for adults (18+). The School Connect feature requires a parent or guardian to act on behalf of a minor. We do not knowingly collect personal data directly from children under 13.

9. Cookies

The CivicOS app uses browser localStorage to save your registration details and preferences locally on your device. No third-party advertising cookies are used. The marketing website (mycivicos.com) may use basic analytics cookies to understand visitor behaviour.

10. Changes to This Policy

We may update this policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of CivicOS after changes constitutes acceptance of the updated policy.
